At Frostlyn Realm Architecture, we've been designing buildings across Canada's northern climates since 2008, and we've always kept things simple and honest. This policy explains what personal information we gather when you reach out to us, check out our portfolio, or just browse around our site.
We're based in Vancouver, BC, so we follow Canadian privacy laws (PIPEDA, if you're curious about the acronym). Basically, we only collect what we need, we don't sell it to anyone, and we keep it secure.
When you get in touch with us or use our website, here's what we might collect:

We don't collect sensitive personal info like credit card details through our website - any financial stuff happens through secure, separate channels when we're actually working together.

Project Communication
Obviously, we need your contact info to respond to inquiries, send project updates, share design concepts, and generally keep you in the loop. We've found that good communication is half the battle when it comes to successful architectural projects.
Service Delivery
When we're working on your project, we use the information you've shared to create designs that actually fit your needs. Location details help us understand climate considerations, budget info helps us propose realistic solutions, and your preferences guide our creative direction.
Website Improvement
The usage data helps us figure out what's working and what's not. If everyone's bouncing off a particular page, we probably need to rework it. If folks are spending time checking out our sustainability approach, that tells us something too.
Legal Obligations
Sometimes we're required by law to keep certain records - think building permits, contracts, that sort of thing. We maintain these for the legally required periods and not a day longer.
We'll occasionally send updates about our work or relevant industry news, but you can opt out of those emails anytime. Just hit the unsubscribe link at the bottom.
Let's be clear - we don't sell your information to anyone. Period. That said, there are a few situations where we might share your data:
Project Collaborators
Architecture isn't a solo sport. We work with structural engineers, landscape designers, energy consultants, and contractors. When necessary for your project, we'll share relevant information with these trusted professionals. They're bound by their own professional confidentiality obligations.
Service Providers

Portfolio Use

Withdraw Consent
If you've agreed to receive newsletters or marketing materials, you can change your mind anytime. Every email has an unsubscribe link, or just shoot us a message.
Data Portability
Need to take your information to another firm? We'll provide your data in a commonly used format so you can transfer it easily.

Security Measures
We take security seriously. Our website uses SSL encryption (that's the little padlock in your browser bar). Project files are stored on encrypted cloud servers with restricted access. Only team members who need access to specific information get it.
We regularly update our systems, use secure passwords, and train our team on data protection best practices. That said, no system is 100% bulletproof - if there's ever a breach that affects your data, we'll let you know promptly.
How Long We Keep Data
We keep information only as long as necessary:
- Inquiry info: If you reach out but don't proceed with a project, we'll keep your contact details for about a year in case you change your mind.
- Project files: Active and recent project information is kept for 7 years after completion (standard practice for architectural firms and required for professional liability purposes).
- Financial records: Kept for 7 years as required by Canadian tax law.
- Website analytics: Aggregated and anonymized after 26 months.
After these periods, we securely delete or anonymize the data. Physical documents are shredded, digital files are permanently erased.
We'll update this policy occasionally as our practices evolve or laws change. When we make significant changes, we'll post a notice on our website and update the "Last updated" date at the top.

If you're not satisfied with our response, you have the right to file a complaint with the Office of the Privacy Commissioner of Canada. We hope it doesn't come to that, but the option's there if you need it.
